Getting started

What is Heyweek?

Heyweek is a work management tool built for small teams and freelancers. Time tracking, tasks, todos, notes, files, client billing, reporting, messaging, and a team feed — all in one place instead of spread across a handful of apps.

Who is it for?

Consultancies, agencies, and freelancers who bill by the hour and need to keep clients informed. If you spend any part of your day trying to remember what you worked on so you can invoice someone, Heyweek is worth a look.

Is there a free trial?

Yes. Every plan comes with a 14-day free trial, no credit card required. Sign up, poke around, and see if it fits how you work.

How do I get started?

Create an account, set up a project, add a client, and start logging time. Most people are up and running in under ten minutes. The docs have a step-by-step guide if you prefer a walkthrough.

Time tracking

How does time tracking work?

You log time directly against a task. Start a timer while you work, or add an entry manually after the fact. Either way, every entry gets context — project, client, what was done — so your data is useful when billing time comes around.

Can I log time after the fact?

Yes. You can add time entries for any date manually. We do not force you to track in real time, though it tends to be more accurate when you do.

Can I set different rates per client or project?

Yes. Billing rates can be set at the project level, so different clients or engagements can have their own rates without any manual adjustment when it comes to invoicing.

Can I export my time data?

Yes. Time entries can be exported as CSV. If you use another tool for invoicing or accounting, the data is yours to take with you.

Tasks, todos & notes

What is the difference between tasks and todos?

Tasks are project-level work items you track time against and assign to team members. Todos are lightweight checklists — good for smaller action items that do not need a full task with time tracking attached.

Can I attach files to projects or tasks?

Yes. Files can be attached to projects and tasks so the relevant assets stay close to the work rather than buried in someone's email or a shared drive folder.

How do notes work?

Notes live inside projects and give you a place to capture context, decisions, meeting notes, or anything else that belongs with a project but is not a task. They are shared with anyone who has access to the project.

Can I assign tasks to specific people?

Yes. Tasks can be assigned to team members, given due dates, and tracked to completion. Time logged against a task is always tied to the person who logged it.

Clients & reporting

How do projects and clients work?

You create a client, then create projects under that client. Tasks and time entries live inside projects. Every hour is traceable back to a client and project without any manual sorting later.

Can I invoice clients from Heyweek?

Yes. Invoices are generated from your tracked time, so there is no manual line-item entry. The hours are already there — you review, adjust if needed, and send.

Can I share reports with clients?

Yes. Reports break down hours by project, task, or team member over any date range. You can share a summary directly with a client so they see what was delivered before an invoice lands in their inbox.

Can clients access Heyweek directly?

Yes. You can invite clients to a client portal where they can view project progress and time reports without having access to the rest of your account.

Team & absences

Can I use Heyweek with a team?

Yes. You can add team members, assign tasks, and see how time is distributed across your team. Workspaces let you keep different teams or business areas separated if needed.

How does absence tracking work?

Team members can log absences — holidays, sick days, and other time off. You get a shared overview of who is available, which is especially useful for distributed teams where there is no shared office to glance around.

Can I see what my team is working on?

Yes. You can see active tasks, logged time, and project progress across the team without having to chase people for updates.

Pulse & messages

What is Pulse?

Pulse is a company feed — think of it as a social layer for your team. People share updates, progress, and wins in a timeline everyone can follow. It keeps the team connected without turning everything into a meeting or a long email thread.

How is Pulse different from messages?

Pulse is for broadcasting to the whole team — project updates, announcements, things worth sharing with everyone. Messages are for direct conversations between people or in smaller groups, more like a chat.

Does Heyweek replace our chat tool?

It can, for a lot of teams. Pulse and Messages together cover most of what a small team needs day-to-day. Whether you want to go all-in or keep an existing chat tool alongside Heyweek is up to you.

Integrations

Does Heyweek connect with my calendar?

Yes. Heyweek integrates with both Google Calendar and Microsoft Calendar. Your meetings and events sync across so you can see your schedule alongside your tasks and time without switching apps.

How does the financial integration work?

Heyweek connects to your bank via GoCardless, giving you a live view of your cashflow alongside your project and billing data. You can see what you have invoiced, what has been paid, and how your finances are tracking — without logging into your bank separately.

What other integrations are available?

We are adding integrations over time. The integrations page has the current list. If something you rely on is missing, let us know — it helps us prioritise what to build next.

Plans & billing

Can I change plans?

Yes, any time. Upgrades take effect immediately. Downgrades kick in at the start of your next billing cycle.

Do you offer discounts for annual billing?

Yes. Paying annually saves around 20% compared to month-to-month. The exact figure is on the pricing page.

What payment methods do you accept?

All major credit and debit cards. We use Stripe for payment processing — your card details never touch our servers.

What happens to my data if I cancel?

Your data stays accessible for 30 days after cancellation so you can export anything you need. After that it is deleted. We do not hold your data hostage.

Privacy & security

Where is my data stored?

Heyweek is hosted in the EU. We take data residency seriously, especially for European customers with GDPR obligations.

Do you sell or share my data?

No. Your data is yours. We do not sell it, share it with advertisers, or use it to train AI models. The privacy policy has the full picture if you want to read the details.

Is Heyweek GDPR compliant?

Yes. We are incorporated and hosted in the EU, process data under GDPR, and can provide a data processing agreement on request.
